About Purchase Orders

IPP supports the use of both purchase orders (PO) and blanket purchase orders (BPO). Blanket POs are a type of purchase order used for long-term purchasing agreements between an agency and its vendor. Agencies upload POs and BPOs to IPP in XML format using a secure file transfer protocol, such as Secure Transport or Connect:Direct. From the PO/BPO, vendors can create invoices in the Collector module.  

You must have the Invoice – View permission assigned to one of your roles to view the Purchasing and/or Blanket POs tabs. The Disburser Administrator can also assign any of the following PO permissions to one of your roles:

Making a Modification to a PO

An agency can make changes to a PO by uploading a new copy of the PO reflecting the updates.  Refer to the PO file specification for specifics.

The Business Unit field in the Purchase Order is part of the unique key items contained in a PO. If the agency modifies a purchase order, the Business Unit must be the same as the original PO or IPP will create another PO with the same PO number.

 

Updating the Quantity Invoiced

You can update the Quantity Invoiced field at the Schedule level on subsequent PO uploads any time after the initial upload. For line items that are goods, a quantity is required in the Quantity Invoiced field. For services, the Quantity Invoiced field is the product of the Quantity and the Unit Price.
