Advanced Search

From the banner or left sidebar, click Advanced Search to locate POs, BPOs, invoices/credit memos, or payments. Advanced Search allows you to enter specific search criteria to limit or expand your search results.

Note: You can also access the Advanced Search screen from the Advanced Search link on the left-hand side of the Home page.

The following table explains the Advanced Search dialog when the Invoice button is selected as the Document type.

Field Name

Description

Document

Select Invoice as the Document type:

  • Invoice

  • Payment

  • PO #

  • Blanket PO #

From field - Enter all or part of an invoice number.

To field - Enter all or part of an invoice number.

or leave blank

Agency

Select an agency or All.

Dates

Enter document dates, the oldest date in the From field and the latest date in the To field.

Status

The following lists the document statuses.

  • All - displays all statuses

  • Draft – invoice in draft status

  • Pending Submission – invoice that are not submitted

  • Pending Approval – invoice that are not approved

  • Approved to Pay – invoice that the agency can pay

  • Scheduled to Pay – invoice that has a payment date

  • Paid – invoice that is paid

  • Paid Returned – an invoice marked returned after it is paid

  • SAM Expired – a vendor's registration with SAM has expired

  • In Exception – the invoice has errors that require fixing

  • Rejected – the invoice was rejected

  • Voided – the invoice was voided

  • eFile Status

Amounts

Enter the amount of the invoice, the lowest amount in the From field and the highest amount in the To field.

Invoice Type

Select the invoice type.

The following Advanced Search has the PO#/BPO# button selected as the Document type.

Select a specific agency names or All.

Select All or a PO status:

  • Open

  • Closed

  • Exception

On Hold check box

Click to search for POs/BPOs that the Disburser placed on hold or are on hold due to a Novation.

Amounts

Enter a From and To amount.

To field - Enter payment reference number

Payment Type

Select a payment type or All: ACH, Check, or Wire Transfer

TIN

Select a specific Treasury Identification Numbers (TIN) or All.

Agency

Select a specific agency names or All.

Payer Name

Select a specific ALC or All.

Dates

Enter a From and To date range. The system defaults to the previous 1 month. You must limit the time frame to one year.

Status

Select All or one of the following payment statuses.

  • Settled

  • Reduced

  • Returned

Invoice Number

Enter an invoice number.
