Downloading PO Batches

The Create PO Batch process allows you to download purchase orders from an agency. The Collector user must have Create/Edit Invoices permission to access this feature.

 

To download PO batches:

  1. From the Orders tab, click PO Batches to access the Pending Purchase Order Batches page.
  2. Click New Batch. The Create Purchase Orders Batch - Step 1 page appears.

Field Name

Description

Agency

Select an agency from the multi-select box. All the agencies that you support as a vendor are displayed.

Download Status

Select a status from the drop-down box:

  • All

  • Never Downloaded

  • Previously Downloaded

PO #

Enter a PO number in the field to locate a single PO.

Issue Date

Enter a date range for the PO issue date.

  1. Click OK. The Create Purchase Orders Batch - Step 2 page appears.
    Note: If there are no POs within the parameters you entered, IPP displays a message "No POs Found". Click Cancel to return to the Create Purchase Orders Batch - Step 1 page to change your search parameters.
  2. Do the following from the  Create Purchase Orders Batch - Step 2 page if POs are found:

Field Name

Description

1. Select the file format.

XML (only format configured for the Collector module).

2. Select the file compression.

Select one of the following:

  • Compressed

  • Not Compressed

3. Review POs

Review a list of POs that are ready for uploading.

  1. Do one of the following:

The Pending Purchase Order Batches page appears.

  1. Click View to see the POs that were downloaded, or click Refresh.
