IPP sends email notifications to Collector users when an agency or Collector user takes an action that meets the notification criteria for sending it. IPP sends the notifications to the email address identified in in the user’s profile.
Note: To ensure that disabled users do not continue to receive notification emails, IPP recommends that you turn off notifications for a user after you have disabled the account.
Example notification scenarios include:
An agency rejects an invoice. IPP sends the subscribed Collector users theInvoice Reject/Denied Notification with the reason the invoice was rejected.
A Collector user uploads an eFile. IPP sends the subscribed Collector users the eFile Upload Notification notification with details about the file and its status.
Based on the roles assigned, Collector users are automatically subscribed to specific message types when their user profile is created. You can modify which notifications the Collector user receives and how often IPP sends the notifications. You also have the ability to create custom notification groups within the scope of the Collector user’s assigned roles and permissions. Notifications outside the Collector user’s roles and permissions are not available for selection.

IPP generates this notification when a Collector user uploads an eFile. It lists the file name, upload date, status, successful record count, exception count, error count, total invoice count and total monetary amount. |
Invoice Schedule to Pay |
IPP generates this notification when an agency approves an invoices and which places the invoice in a Scheduled to Pay status. It lists the invoice and PO number, agency, invoice date, scheduled pay date, terms and monetary amount. |
Invoice Exception |
IPP generates this notification when IPP places an invoice in exception upon submission. It lists the invoice and PO number, agency, invoice date, due date, status and monetary amount. |
Invoice Reject/Denied |
IPP generates this notification when an agency rejects or denies an invoice. This notification lists the invoice/credit memo number, PO/BPO number, agency name, invoice date, invoice status, terms, and amount. The agency adds comments to the rejected invoice/credit memo to help the Collector user make corrections and resubmit the invoice/credit memo. A denied invoice/credit memo cannot be resubmitted; a new invoice/credit memo must be created. Note: If you unsubscribe a Collector user from this notification, IPP displays a warning message: Unsubscribing a Collector user from the Invoice Reject/Denied Notification stops any and all notifications of a rejected/denied invoice. If rejected/denied invoices are not addressed this could result in unpaid invoices. |
New PO/Change Order |
IPP generates this notification when an agency uploads a new or modified purchase order. It lists the PO number, issue date, Vendor ID, terms and monetary amount. |
PO Hold/Release Notification |
IPP generates this notification when an agency places a PO on hold and when the agency releases the hold. You can create new invoices once the PO is no longer on hold. The notification lists the agency, PO number, issue date, monetary amount and hold status. |
Settlement Notification Only |
IPP generates this notification when IPP receives payment information from the Treasury. It indicates the receipt of a payment. The notification does not contain payment details. |
Settlement Report |
IPP generates this notification when IPP receives payment information from the Treasury. Note: IPP recommends you subscribe Collector users with the Treasury Offset Detail role this notification. Do not subscribe a Collector user to both the Settlement Notification Only and the Settlement Report notification. |
