POs placed on hold cannot be released until all invoices have been settled. Once all active invoices have been settled, a Disburser user can release the hold using the Release link on the Purchase order summary page. Once released, invoicing activity can resume. The Disburser user must have the Purchase Order/Blanket PO-Hold/Release permission assigned to their role to perform the Hold and Release actions.
To release a hold on a PO through an order upload, the Disburser must send a PO modification with either an N or null value in the Hold Status field.
Note: IPP cannot release POs/BPOs placed on hold until all invoices are settled. If a PO is placed on hold in error, agencies can contact IPP customer support to release the hold.
To release a PO:
From the Purchasing tab, click the Purchase Orders sub-tab.
Click a Browse Suppliers letter to limit the results and/or select a date range from the Change Date Range list. IPP retains your search criteria for the duration of the session.
From the Purchase Order summary page, select the PO to release from hold and click Release in the Action column. IPP displays a confirmation message.
In the Enter Comments box, enter a reason for the release (up to 1000 alphanumeric characters) and then click Submit. IPP returns to the Purchase Order summary page.
IPP removes the Hold from the PO. The H no longer appears on the summary and detail screens and invoicing activity can resume. IPP records the Release comments in the Audit Trail along with the User name, date and time. To view the Audit Trail, click History from the Purchase Order detail page.
