Search

Use Search to locate purchase orders (POs), Blanket POs (BPOs), invoices, or payments by number using the Search text box located in the upper right corner of each page in the Disburser module. A paperclip icon displays next to a document in a search query, allowing Disburser users to easily identify documents with an attachment. The Quick Search page displays the search results based on the document number entered.

 

To locate documents:

  1. Enter a document number, such as a PO/BPO number, invoice/credit memo number, or payment reference number. If you do not know the exact number, use the % sign as a wildcard.

  2. Click Search.

Note: The results of the search are limited to the Disburser user's ALCs and permissions and associated group(s).

 

Field Name

Description

POs

Displays the documents  used by an agency to request goods or services in return for payment, generally set for a later date.

Agent

Displays the name of the agency issuing the PO.

PO#

Displays the PO number. If the document has an attachment, a paper clip symbol before the document number signifies the attachment.

Supplier

Displays the name of the vendor selling the goods or services.

Issued Date

Displays the date of payment or the date the PO was issued.

Amount

Displays the monetary value of the PO.

Status

Displays the status of the PO. The statuses include:

  • Open – Indicates orders may continue to be placed against the associated PO.

  • Closed – Indicates the specific product or service associated with the PO has been fulfilled and orders can no longer be placed against the associated PO.

  • Void – Indicates the associated PO was invalidated.

  • Exception – Indicates the associated PO has errors that require adjustment.

Blanket POs

Displays the standing POs that allow an agency to order the same product multiple times using the same PO number over an extended purchase period.

Agent

Displays the name of the agency issuing the BPO.

Blanket PO#

Displays the BPO number. If the document has an attachment, a paper clip symbol before the document number signifies the attachment.

Supplier

Displays the name of the vendor selling the goods or services.

Start Date

Displays the first date that the BPO is in effect, and orders may be issued against it.

End Date

Displays the last date that the BPO is in effect, and orders may be issued against it.

Blanket PO Amount

Displays the monetary value of the BPO.

Remaining Amount

Displays the monetary value remaining on the BPO.

Status

Displays the status of the BPO. The statuses include:

  • Open – Indicates orders may continue to be placed against the associated BPO.

  • Closed – Indicates the specific product or service associated with the BPO has been fulfilled and orders can no longer be placed against the associated BPO.

  • Void – Indicates the associated BPO was invalidated.

  • Exception – Indicates the associated BPO has errors that require adjustment.

Invoices

Displays the itemized bills for goods sold or services, containing individual prices, the total charge, and the payment terms.

Agent

Displays the name of the agency issuing the invoice.

CM

Displays CM if the document is a credit memo.

Invoice #

Displays the invoice number. If the document has an attachment, a paper clip symbol before the document number signifies the attachment.

Supplier

Displays the name of the vendor selling the goods or services.

Invoice Date

Displays the date the invoice was created.

Due Date

Displays the date by which the invoice must be paid.

Amount

 

Displays the monetary value of the invoice.

Status

Displays the status of the invoice. The statuses include:

  • Pending Approval: These invoices have been received by the buyer and are still being routed for approval.

  • Rejected: These invoices have been successfully submitted to the buyer, but the buyer has decided it will not pay the amount on the invoice. An invoice might be rejected if it is a duplicate or none of the items on the invoice were ordered. When there is an issue with only one of the items on an invoice, some buyers prefer to reject the entire invoice and ask the supplier to resubmit a new invoice.

  • Received: These invoices have been received by the agency  and are ready for processing. Invoices that post will stay in received status until either approved or rejected.

  • Paid Returned: These invoices' payments are cancelled or returned from Treasury.

  • Scheduled to Pay: These invoices have been successfully submitted to the buyer, have been approved to pay, and have a scheduled pay date. An invoice with payment terms of "Net 30" might be in a status of "Scheduled to Pay" if the approval happened quickly and the date is not yet 30 days after the date the invoice was received

  • Voided:These invoices have been successfully submitted to the buyer, but the buyer has decided it will not pay the amount on the invoice. An invoice might be rejected if it is a duplicate or none of the items on the invoice were ordered. When there is an issue with only one of the items on an invoice, some buyers prefer to reject the entire invoice and ask the supplier to resubmit a new invoice.

  • Approved to Pay: These invoices have been approved to pay (and receipt confirmed if this is required for the invoice), but a payment date has not yet been set.

  • In Process: These invoices have not yet been submitted to the buyer. You can edit these invoices and submit them to the buyer. You can void any invoice that is in draft.

Document Source

Displays the source document from which the invoice was derived.

Payments

Displays the discharges of incurred obligations.

Agent

Displays the name of the agency issuing the payment.

Payment Type

Displays the method used for payment. The types include:

  • ACH - Treasury disbursed payment

  • Check - payment by check possibly from agency disbursed payment

  • Wire Transfer - payment from the agency bank account to the supplier's bank account

Payment Type Reference #

Displays the payment reference number. The Payment reference number includes:

  • ACH Trace # - Displays the Automated Clearing House Trace number from the U.S. Treasury.

  • Check serial # - Displays the check serial number.

  • IMAD (wire) # - Displays the IMAD number.

Click the reference number to access the Payment Detail page. The Payment Detail page is limited to the Disburser user's permission for viewing payments, the Group to which the Disburser user is associated, and the Business Unit, Cost Center, or Department ID list on the payment.

Supplier

Displays the name of the vendor selling the goods or services.

Issue Date

Displays the date the payment was made.

Amount

Displays the monetary value of the payment.

Status

Displays the status of the payment.
