The Purchase Orders Summary page displays the POs that are Open, in Exception, Closed, or Void. The Disburser Administrator must assign the permission to the Disburser user’s role in order for the Disburser user to void the PO.
You can void a PO if it was uploaded in error:
The Void button is only available for Purchase Orders that have no invoice or credit memo activity.
A PO upload containing a V in the PO status field is only successful if there are no invoices (in any status) associated with it. If any invoices exist, IPP puts the PO on hold and it remains open.
The Action column must display the Void link before you can void a PO.
To void a PO:
From the Purchasing tab, click the Purchase Orders sub-tab.
Click Browse Suppliers to access a list of open POs, change the date range if necessary. IPP retains your search criteria for the duration of the session.
Select a PO in Open or Exception status to void.
Click Void under the Action column. The Confirm Void Action on PO#: XXXXX appears.
Enter comments on why you are voiding the PO in the Comments field.
Click Submit to void the PO and the PO is voided.
Note: If a PO is being modified to make a change in the Business Unit, since the BU participates in the unique key of the PO, the PO must first be voided, and then re-issued with the same PO number.
