Create a Credit Memo

Use the Disburser > Self-Service > Add Credit Memo page to create a credit memo from a PO. You can search for a vendor name, a PO or Blanket PO, or an Invoice number.

To search for POs by vendor:

  1. From the Self-Service tab, click Add Credit Memo.
  2. Type the name of the vendor in the XMVL Vendor Name field.
  3. Select the Exact Match check box, if you know the complete vendor name; otherwise, type a partial name and % sign.
  4. Type a PO number, Blanket PO number, or invoice number, if known.
  5. Click Next to advance to the Vendor List page.

If the search criteria was provided, then the PO/BPO selection page is populated based on the search criteria. Otherwise, all available PO/BPO/Invoices are listed.

  1. If you know the buyer ALC, select it and click Create Credit Memo to create a credit memo for an invoice.

PO List

  1. Complete the steps in the procedure: To search for POs by vendor.
  2. Scroll to the PO List section and select a PO from the list.
  3. Click Create Credit Memo for Selected PO.
  1. Type a number in the Credit Memo # field (Required).

  2. Select the date when the order was received from the Receipt Date filed (Required).

  3. Fill in the other fields, as needed.

  4. Type comments in the Comments field. Required only if the rule is set by your Disburser Administrator.

  1. Click Submit or Save as Draft, if you do not want to submit the credit memo at this time.

Blanket PO List

  1. Complete the steps in the procedure: To search for POs by vendor.
  2. Scroll to the Blanket PO List section.
  3. Click Create Credit Memo for Selected Blanket POs. IPP displays a New Credit Memo form.

  4. Type a number in the Credit Memo # field (Required).

  5. Select the date when the order was received from the Receipt Date filed (Required).

  6. Fill in the other fields, as needed.

  7. Type comments in the Comments field. Required only if the rule is set by your Disburser Administrator.

  8. Click Submit or Save as Draft, if you do not want to submit the credit memo at this time.

PO Based Invoice List

  1. Complete the steps in the procedure: To search for POs by vendor.
  2. Scroll to the PO based Invoice List section.
  3. Enter an invoice number in the “Refine your list further by entering Invoice Number:” field and click the Exact Match check box.

  4. Or, from the Invoice# table, find the invoice and click Create Credit Memo. IPP displays a New Credit Memo form.

  1. Type a number in the Credit Memo # field. Required

  2. Select the date when the order was received from the Receipt Date calendar pop-up. Required

  3. Fill in the other fields, as needed.

  4. Type comments in the Comments field.

  5. Click Submit or click Save as Draft, if you do not want to submit the credit memo at this time.

Add Attachments

If necessary, you can add attachments to the invoice.

Note: The Disburser Administrator must set the maximum number of attachments per invoice to a number > 0 in the Disburser Administration module (Invoices/Invoice Attachment Configuration) to enable the user to add attachments.
