My Invoice Tasks

The Invoice My Tasks page displays the task description and task instructions assigned to you. If you are in a parallel workflow group, the task displays the workflow level assigned to you and your workgroup. In addition, if you are a member of a queue, IPP displays the queue name .

You can be assigned to a group, a parallel workflow group, or a queue.

Tasks Assigned to an Approver in a Queue

As a member of a queue, you can have tasks assigned to you from the  queue. You would perform your task to approve or reject an invoice. The details section displays the tasks assigned to you and any special instructions you need to perform the task.

If you are assigned to a queue, the Task Description includes the queue name. In addition, because you are assigned to a queue, you do not have workflow assignments for that level but if you are also assigned to another level, then you could have a workflow assignment.

Tasks Assigned to User in a Parallel Workflow Group

Users assigned to a parallel workflow group are all required to approve an invoice before it goes to the next step in the workflow process. However, only one person is needed to reject an invoice even if other approvers have approved the invoice.

When an invoice is rejected a standard reject notification is sent to the other members of the parallel group.

The Details section displays the tasks assigned to you and your parallel group and any special instructions required to perform the task.

Task Instructions

The Task Instructions portion of the Invoice Details page provides the options available to you through workflow. You can do the following:

Approve an Invoice

If you click Approve, you advance to the Complete Task screen.

The following table describes the Complete Task screen.

Field Name

Description

Date Goods or Services Received pop-up calendar

Required. Select the date that the purchased goods were received from the pop-up calendar  .

Date Goods or Services Accepted pop-up calendar

Select the accepted date from the calendar. This field is required.

Prompt Pay Special Handling check box

Select if there is prompt pay.

Internal Routing Comments field

Enter any comments about the invoice.

Submit or Cancel

Click to enter the information; otherwise click Cancel.

Note: If you have been assigned selected ALCs and invoice permissions, the ALCs assigned and your permissions determine which invoices and purchase orders you can view.

Re-assign an Invoice

If you click Reassign, you are advanced to the Lookup User screen.

The following table describes the Lookup User screen.

Field Name

Description

First Name field

Enter the user’s first name.

Last Name field

Enter the user’s last name.

Email field

Enter the email address of the user.

User Lookup field

Enter the unique user identifier that is used to identify the user in the agency's accounting system.

Find button

Click to search for the user based on entries.

Leaving fields blank returns all users.

Reject an Invoice

If you click Reject, you are advanced to the Confirm Invoice Reject screen.

The following table describes the Confirm Invoice Reject screen.

Enter the reasons for rejecting the invoice.

Reject button

Click to reject the invoice.

Cancel button

Click to cancel the screen.
